I used to stare at vendor demos and think we were behind. Every AI tool promised to transform the workflow, automate the tedious stuff, and free us to do higher-value work. Six months after rolling out three platforms, we were using maybe 20% of their capabilities. The rest sat idle while we fell back to old patterns.

Measuring What Actually Matters

Second, over-relying on AI where context, relationships, or values drive the outcome; pattern matching won't resolve competing priorities. Third, outsourcing formative work so completely that core human capabilities atrophy, first drafts, sense-checking analyses, and structuring arguments.

Bridging Your Team's Gap

Pick one recurring workflow where the gap between potential and usage is obvious, then prove the new way of working in a short, bounded cycle.

  1. Map the current steps and pain points.
  2. Apply the tetrad to the chosen tool to target where it truly helps.
  3. Run a two-week experiment with clear quality and time metrics.
  4. Review capability utilization and error patterns; retrain, redesign, or replace.
